Sending to an unclean list is one of the fastest ways to damage domain and inbox reputation. Hard bounces, role accounts, and trap-like addresses all send the same signal: this sender is careless.
Here is a practical verification workflow before any cold campaign.
Why verification matters
- Hard bounces (invalid mailboxes) hit reputation immediately
- Role accounts (
sales@,info@,admin@) rarely convert and often route to shared spam-trained inboxes - Typos (
gmial.com,yahooo.com) waste sends and inflate bounce rate - Disposable addresses never become customers
Target under 1% hard bounce. Many teams only notice the problem after a domain is already throttled.
Step 1 — Deduplicate
Export your list and remove duplicates first. The same person on three rows still only has one inbox — and three sends look like harassment to filters and humans.
Use the email list deduper: paste, clean, copy the unique set.
Step 2 — Run a verifier
Paste up to a few hundred addresses at a time into the free email verifier. It checks:
- Syntax
- Obvious typos against common providers
- Disposable domains
- Role-style local parts
- Live MX records for the domain
Anything marked invalid or high-risk should leave the campaign list. “Use with care” rows (role accounts, possible typos) deserve a manual decision.
Step 3 — Catch pattern errors
If you generate addresses from names, verify the pattern logic. Corporate formats vary (first.last@, flast@, first@, …). The email permutation generator builds common patterns so you can test candidates instead of guessing once.
Then verify the candidates — permutations without verification are just a longer bounce list.
Step 4 — Re-check before big sends
Lists decay. People leave companies; domains expire. Re-verify segments that are more than a few months old before a large push.
What verification does not replace
- Permission and relevance still matter
- Authentication (SPF/DKIM/DMARC) still matters — see the authentication checker
- Warmup and volume still matter — see the warmup calculator
Verification is hygiene. It will not fix a cold domain or spammy copy, but it stops you from punching yourself in the reputation every morning.
If you are building a full outbound stack and want list + infrastructure handled together, send a brief.
